Holiday Kids Club Leaders

Ahoy everyone!

I hope this email finds you well.

Our 2025 ‘Pirates of the Curried Beans’ Holiday Kids Club is not far away (just over 2 weeks). The good news is that the planning is well underway and we’ve got lots of kids registered already.

This email is especially for you, though, as someone who is committed to being involved during kids club as a leader/helper. Thank you for your willingness to serve. In most cases if you are receiving this email, either myself or one of the other directors has had direct communication with you about your role. If not, I’ve included you, and allocated you to a role based on what you’ve told us about your availability.

What’s most exciting though is the opportunity we’ll have to teach children about King Jesus, who rescues us from sin and death and all of our piratey ways. I’m praying that we’ll be able to share this message particularly with kids who haven’t heard it before, or who might come from non-churched homes.

Jesus said to the disciples,

“Let the little children come to me, and do not hinder them, for the kingdom of God belongs to such as these. Truly I tell you, anyone who will not receive the kingdom of God like a little child will never enter it.” And he took the children in his arms, placed his hands on them and blessed them.

Jesus loves kids and is pleased when we try to do all that we can to show them his kingdom

Please carefully read this email as it will give you important information about Holiday Kids Club as it currently stands. There may be minor changes in the coming weeks as final preparations are made.

This part will show you what role you’ve been allocated to. Look through the document to find your name. For many of you your name will appear more than once if you are wearing multiple hats and/or serving on multiple days. If what your role appears as seems unusual to you, or your capacity to help has changed, please let me know ASAP.

IMPORTANT: If you cannot find your name on the roster, that is probably not by accident. It is because I’m still thinking about how to best fill some of the outstanding roles – and I’d like to talk to you. Though if you’re unsure about what your role will be, please contact me.

The first page of this document is the generic Childrens Ministry 2025 Job Description. This page relates to a range of childrens’ ministries – many of you will have received this before in connection with other childrens ministry you are involved in.

The other two pages contain information specific to the 2025 Holiday Kids Club, including a brief description of each role, and the daily time schedule associated with the role. More detailed instructions than what appears in this document will be discussed with you by your section director.

Meeting

We will have one all-in meeting for those who can attend on the evening of Monday 6 October, from 7.30pm at church. There will also be a Zoom or Livestream option (details tbc) for those that can’t attend in person.

The purpose of the meeting will primarily be to pray and discuss final preparations. I expect that most of the essential information you need will be communicated to you prior to this date.

Setup – Mon 6 Oct & Tue 7 Oct

A number of us will be at the church on Monday 6 Oct and Tuesday 7 October making final preparations for the Kids Club. This will involve decorating, getting equipment ready etc.

If you are free and can come along to help please let me know. 

Information required from you

T-Shirts

We are doing things a bit differently this year and providing general ‘Jannali Anglican Kids’ t-shirts for you to borrow and return. A variety of sizes will be available.

The kids and Small Group Leaders will be given coloured bandanas to differentiate the groups.

Meals

Morning tea and afternoon tea will be provided to leaders, along with the children.

If you will be on site at lunch time, it’s best if you bring your own lunch. However, there will also be some basic lunch supplies available to make sandwiches if you would like to avoid bringing your own lunch.

Parking

As I’m sure you can appreciate, during the Holiday Kids Club, it will be helpful if leaders did not park in the church carpark, in order to allow space for children to arrive with their parents and find parking. On Friday, the car park will be used for some of the activities in any case.

Friday Finale

We will be inviting children and their friends/family to join us at the end of the program for a fun celebration evening. This is a very important occassion for our church to get to know parents who don’t belong to our church. We will have a presentation in the auditorium with some highlights from the week and a short gospel presentation.

It would be wonderful if you are available at this time for you to come along. Feel free to invite others. The more the merrier.

Holiday Kids Club Leaders

Our Holiday Kids Club is just over one week away. There’s excitement in the air! If you haven’t yet see our boat out the front of church, swing by this week- even at night! We’ve got around 90 kids booked in to come for all or part of the week. Thank you again for your willingness to serve.


This email provides you with the latest updates, and hopefully, all that you need to know prior to Kids Club starting. Please also re-read my earlier email from 21 September if you haven’t already. You can view it online here.

Monday Night Meeting

Mon / Tue Set up

  • If you can spare a few hours on next Mon 6th or Tue 7th to come to church and help with a few things, that would be great. It will be fun: we’ll pump some music, decorate the spaces, build the drama set, prepare materials for kids. Lots to do!

Timing and meetings during HKC

  • Early morning play supervisors and check in: 7.45am start

  • Team Devotion: 8:15-8:30am

  • Other morning leaders: Come as early as you can to play with early arriving children. Please arrive by 8.40am at the latest. At the end of the morning we have a handover meeting from 12:30pm- 12:45pm.

  • Morning Tea Servers: Please arrive by 8.45am

  • Arvo leaders: 12.30pm handover meeting with the morning team. The day finishes around 4pm – depending on when kids get collected and pack up.

Handover time

  • We’re aiming for both morning and arvo leaders to be present at lunch time to spend time with the kids. It will also be important to handover the more ‘needful’ kids from their small group leader to a suitable arvo leader who can connect with them. If you are a small group leader and an afternoon leader- please come to the handover meeting each day at 12:30pm.

Food & Meals

  • If you have dietry restrictions please email them to me so I can pass them on to Carolyn and the kitchen team.
  • Morning and afternoon tea will be provided, at the same time as the children.
  • You can BYO lunch, or there will be supplies to make sandwiches/rolls available to the leaders.
  • Please DO NOT bring any food containing nuts to the premises.

Parking

  • Please remember to park offsite to help parents drop their children off. There is usually lots of space on Wattle Rd (on the other side of Box Rd)

T-shirt collection

  • These will likely be laid out ready for you to pick up on Wednesday morning when you arrive. These t-shirts are for you to borrow and return (to save some money and be reused with our kids-leaders during term time).

Lanyard collection 

  • When you arrive, you will receive a lanyard and a name tag. There will be a copy of the program, activities matrix and a list of your small group members (if you are a small group leader.)

Behaviour Management

  • During Kids Club it will be very important for all the leaders to practice godly, and consistent behaviour management
  • The approached used in other Childrens Ministry is to communicate and constantly refer back to language of the 3 RPs (respect people, respect property, respect program)

“Pirate Loot”

  • Alongside the behaviour management plan, but also having other benefits, will be our ‘Pirate Loot’ system. We have found this works very well in previous years.
  • Leaders will all have access to a number of tickets (“Loot”) that can be awarded to kids based on behaviour, winning challenges etc.
  • The kids will be instructed to write their name on the ticket and put it in the “Loot” box. At different times throughout the week, names will be drawn from the box, and they can choose a small prize.
  • Based on feedback from last year, we must be consistent in the way we award Pirate Loot. Go with 1s and 2s, rather than 5s, 10s or 20s. E.g 1 for good behaviour, 2 for really good behaviour. 1 for winning an easy challenge. 2 or 3 for winning a harder challenge. 1 per team member for winning a challenge etc.

Taking pictures during Kids Club

  • It would be great for a few of you to take pictures during Kids Club on your devices. These are handy to use for promotional purposes in the future, slideshows to show the kids each day, and in church. I’ll also share pics with parents through a picture sharing website.
  • There are a few kids whose image cannot be shared in promotional material. However, we can still take pictures – they pics will be vetted after the event.
  • Please send pictures with me each day to this email. Milly will vet the photos we can use.

Friday Finale

It would be really special if a good number of leaders could come along to the Final Friday to mix with children and their parents.
